Your Opportunity:

We are seeking a highly organized and experienced Senior Administrative Assistant to provide comprehensive, confidential, and complex administrative support to senior leadership within the Acute Care Operational Oversight and Coordination team. Reporting to the Senior Lead, this role functions with a high degree of independence and is trusted to manage a broad range of administrative, financial coordination, information management, and workflow responsibilities. The successful candidate will play a critical role in supporting leadership effectiveness and ensuring seamless coordination across multiple stakeholders.

Description:

Key Responsibilities include but are not limited to: Providing senior-level administrative and executive support to leadership within ACA. Coordinating and managing complex workflows, timelines, and competing priorities with minimal supervision. Preparing high-quality briefings, correspondence, and reports to support executive decision-making. Maintaining and managing confidential and sensitive information with a high degree of discretion. Tracking and monitoring executive priorities, ensuring accuracy, accountability, and timely follow-through. Supporting financial coordination activities, including tracking, reporting, and reconciliation. Acting as a key liaison between executive leadership, internal teams, external stakeholders, Health Service Delivery Organizations (HSDOs), and provincial health agencies. Facilitating effective communication and collaboration across multiple partners and levels of the organization. Providing guidance and mentorship to administrative staff on ACA processes, correspondence standards, and best practices. Identifying opportunities to improve administrative processes and enhance operational efficiency.

Required Qualifications:

Extensive senior administrative experience supporting executive leadership. Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Visio) and SharePoint. Strong knowledge of AHS systems, policies, and administrative processes. Excellent written, verbal, and interpersonal communication skills. Demonstrated ability to manage confidential information with discretion. Strong organizational skills and ability to prioritize in fast paced, deadline driven environments.

Preferred Qualifications:

Experience in healthcare or public sector executive offices. Experience supporting budgeting, reporting, and performance documentation. Experience with emerging AI technologies that support efficient admin practices.
